Cancellation Policy

Wolfpack Lodge has a strict cancellation policy because we count on income from advanced bookings.  Once a booking for our property is received, the property is removed from the market for those dates and potential guest renters look elsewhere for their accommodations.  If we accept last-minute cancellations and refunded the guest renter, the odds of rebooking our property for those dates are very low. This Cancellation Policy is hereby made part of the Wolfpack Lodge Vacation Rental Agreement.


Once your Completed Guest Reservation Application has been approved and your deposit payment (50% of rental fee) has been received, the Owner Lodge will send via email these documents for your review & acceptance:  a) Vacation Rental Agreement; b) EPCC Managing Rental Activities; c) EPCC Rules and Regulations; d) Acknowledgement of the Rules and Regulations. Review and acceptance of these documents will be required within 24 hours of the email notification sent before confirmation of your booking will be issued.  No grace period will apply.

Final payment, consisting of the remaining balance, must be received by Owner at least thirty (30) days prior to guest arrival (or immediately if booked less than thirty (30) days in advance of guest arrival).  Failure to make final payments on a timely basis will make reservation subject to automatic cancellation.


Sixty (60) days notice is required for cancellation.  Cancellations that are made more than sixty (60) days prior to the arrival date will incur a $100 cancellation fee, however, will receive a full refund of the Cleaning Fee and Damage Protection Insurance premium fees that had been paid.  Cancellations or changes that result in a shortened stay, that are made within 60 days, or less, of the arrival date will forfeit the full advance payment.  Cancellation for early departure does not warrant any refund of rent or deposit.

Owner is not responsible or liable for unforeseen circumstances such as:  Unfavorable weather, road conditions, catastrophic events, emergency evacuations, Acts of God, disruption of utility services, disruption of cable and/or internet services, malfunction or breakdown of appliances, boiler, water supply, sewers, hot tub, or other equipment malfunctions such as TVs.  There will be no refunds or rebates given to guest renters as a result of any unfortunate circumstances outside of the Owner’s control.

If a catastrophe (hurricane, tornado, earthquake, flood, fire, or wild fire etc.) or any situation simply beyond our control impairs the vacation rental stay, Owner is not responsible for finding alternate lodging for the guest renters or for the guest renter’s financial losses related to transportation or alternate lodging.  There will be NO REFUNDS OR CREDITS FOR EMERGENCY EVACUATIONS. GUEST RENTERS ASSUME THE RISK OF LOSS IN THESE SITUATIONS.


In addition to our refundable security deposit of $1,000.00, the Owner requires that the Guest Renter purchase an additional Vacation Rental Property Damage Protection Insurance policy for the non-refundable fee of $99.00.  This is an additional protection against any damages that may occur during your stay because the home contains luxury furnishings and other items not easily covered by the refundable security deposit.

Separately, and in addition to the Vacation Rental Property Damage Protection Insurance policy, we also recommend that you consider purchasing Trip Insurance.  This type of insurance reimburses for pre-paid, non-refundable expenses due to certain unforeseeable circumstances (such as illness, death, natural disasters, inclement weather, road conditions, jury duty, trip delays etc.) that may jeopardize your vacation investment and force you to incur unplanned expenses. This type of Travel Insurance protection can be purchased online through several third-party vendors.

If you decide to decline Trip Insurance, you hereby acknowledge that you have read and understand our Cancellation Policy and choose not to purchase Trip Insurance on behalf of yourself and all the other guest renters in your party. If you do choose to purchase this separate Trip Insurance policy, the expense of that is non-refundable regardless of the cancellation.


Facilities and equipment are provided at the discretion of the Owner and while every attempt is made to ensure that such equipment is in working order for the duration of the rental period, should a breakdown or some other situation occur that renders the element unusable, we do not accept responsibility for refunding the Guest for the lack of use of the equipment or facilities.  The equipment and facilities referred to include (but are not exclusive to) such items as: Stove, ovens, washer, dryer, dishwasher, refrigerator, televisions, TVs, Cable, Internet, Gas grills, boiler, heating and cooling systems or hot tub.
